Introduction

Your privacy is important to us. This global privacy notice explains how Helio Intelligence (“Helio” or “Helio Intelligence” referred to as “we”, “us” “the group” or “our”) handle your personal data, including the types of personal data we collect about you, how your personal data may be used and when it may be disclosed, how we protect your personal data and the rights you have in relation to the processing of your personal data. Helio respects your privacy, and we are committed to protecting your personal data in accordance with applicable data privacy laws and our internal policies. Please read the notice carefully to understand your rights and our responsibilities. If any translated version of this notice differs from the English version, the English version is the one we rely on.

Helio Intelligence is the parent of a group of several established entities, including DeHavilland Information Services Limited, Forefront Advisers Limited, and OPP Group SRL. 

Roles and Responsibilities

As part of our operations, we may act as both a Data Controller and a Data Processor, depending on the context of data processing.

Data Controller: When we determine the purposes and means of processing personal data (e.g., managing your account, billing, marketing), we act as a Data Controller. When we collect and analyse political information to populate our Platform, we act as a Data Controller. This means we decide what information to gather from public sources, how we use it, and how it is presented to our customers.

Data Processor: When we process data on behalf of our customers according to their instructions (e.g., hosting customer data within our SaaS platform), we act as a Data Processor.

What Personal Data We Collect

We use different methods to collect personal data from and about you.  We collect personal data about different groups of individuals, including politicians and public figures, prospect, customers and website users.  We obtain this information from a number of sources, as set out below:

  1. Collection from Data Sources (Political and Public Figures

We collect data about political and public figures (Stakeholder Data) To provide our political-intelligence services through our platform.  We only collect information that the individual has manifestly made public themselves and only where it is relevant to our services.

  • Stakeholder data, as to mean the members of parliament (MPs), civil servants or local councillors who hold positions within the public domain. This may include professional contact details, role information and publicly expressed political views.
  1. Collection directly from you (Prospects and Customers)

Most of the personal data we process about you comes directly from you. You may give us your name and contact details when filling in forms or corresponding with us by email, phone, mail, in person or otherwise including when you: 

  • Subscribe to our services, products or email alerts; and
  • Purchase or express an interest in our products and services (including attending an event).

The personal data we may collect includes the following:

  • Business Address
  • Business Email Address
  • Business Telephone Number
  • First and Last Name
  • Title
  • Username
  • Company Affiliation and Title

 

Automatic collection

Additionally, we automatically collect technical information when you use our websites, for example: – IP address, log-in data, browser type, time zone setting and location and plug-in types when you interact with our websites. Collection from other sources

We may collect information about you from third parties and public sources (such as public databases and social media websites). This is to ensure we have accurate, up to date or necessary information for us to communicate with you or to provide the best possible service. The types of information we may collect include personal details (including name, age, gender and other demographic data) and contact information (including postal address and telephone numbers).

How We Share Your Personal Data

We may share personal data with our third-party service providers, including IT service providers, marketing automation, solutions, and analytics providers, marketing agencies, and professional advisors. We may also share your personal data with public and governmental authorities if we are required to do so, or with third parties in connection with potential corporate or commercial transactions.

Before we share your personal data with any third parties, we take the necessary steps to ensure that your personal data will be given adequate protection in accordance with relevant data privacy laws and Helio’s internal policies.

International Transfers

If we transfer personal data outside the UK or EEA, we will ensure appropriate safeguards are in place, such as adequacy decisions or approved contractual safeguards. These measures ensure your personal data continues to be protected in line with data protection law.

How We Protect Personal Data

Helio Intelligence maintains appropriate technical and organisational measures to ensure a level of security appropriate to the risk, in accordance with GDPR. These measures are designed to ensure the confidentiality, integrity, availability, and resilience of systems and services and are reviewed and updated on a regular basis.

We use a combination of access controls, encryption, monitoring, staff training and secure development practices to protect personal data, and we require our service providers to do the same. We limit access to personal data to those who need it for their role and have processes in place to detect, respond to and recover from potential security incidents.

Retention of Personal Data relating to Prospects and Customers

We retain your information for no longer than necessary for the purpose for which it was collected. We maintain specific records management and retention policies and procedures, so that in determining how long your information will be stored, we will consider:

  • the purpose(s) and use of your information both now and in the future;
  • our global legal and contractual obligations; and
  • what information we need to manage your relationship with us and to develop and deliver our products and services.

Retention of Your Personal Data relating to Political or Public Figures

We retain information for no longer than necessary for the purpose for which it was collected. We maintain specific records management and retention policies and procedures, so that in determining how long information will be stored, we will consider:

  • the purpose(s) and use of the information both now and in the future;
  • our global legal and contractual obligations; and
  • what information we need to develop and deliver our products and services.

We retain stakeholder information only for as long as it is required for our political-intelligence services. This may include retaining information about individuals who no longer hold public office where this remains relevant for historical context or ongoing political analysis. Public-role information (such as titles, career history and official roles) may be retained longer than political-opinion data, which is reviewed to ensure it remains necessary for our services. We apply our internal retention policies to ensure information is deleted or anonymised when it is no longer needed.

Your Data Protection Rights

Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, you have the following rights regarding your personal data:

  • Right to Access – You have the right to request copies of the personal data we hold about you.
  • Right to Rectification – You can ask us to correct any inaccurate or incomplete information.
  • Right to Erasure (“Right to be Forgotten”) – You may request the deletion of your personal data where there is no legal or contractual reason for us to retain it.
  • Right to Restrict Processing – You can ask us to limit how we use your data in certain circumstances.
  • Right to Data Portability – You have the right to receive certain personal data that you have provided to us, in a structured, commonly used and machine-readable format, where this is processed by automated means and based on your consent or a contract.
  • Right to Object – You can object to the processing of your personal data for direct marketing or where processing is based on legitimate interests.
  • Rights Related to Automated Decision-Making – You have the right not to be subject to decisions based solely on automated processing, including profiling, which significantly affects you.
  • Right to be Informed – You have the right to be informed with regard to how we process your personal data. This Privacy Notice provides the information you need.

olitical Intelligence Data – For political-intelligence data that we collect from public sources, some rights (such as rectification, erasure, and portability) may not apply in the same way as they do for information you provide directly to us. This is because some of this information is factual, publicly available, or processed for public-interest purposes, and may not be dependent on your direct input.  We will always explain this clearly when you contact us.

Exceptions – Not all rights apply in every situation. There may be circumstances where we are unable to fulfil your request due to legal, regulatory, or operational requirements.

Response Time – We will respond as quickly as we can and normally within one month.
If your request is complicated or you have made several requests, we may need more time, but we will let you know if that happens.

Special Category Data

The term “Special Category Data” refers to the various categories of personal data including racial or ethnic origin, political opinions, religious, philosophical or other similar beliefs, membership of a trade union, physical or mental health, biometric or genetic data, sexual life or orientation, or criminal convictions and offences (including information about suspected criminal activities).

We do not routinely collect special category data from our customers. Where we process political-opinion information about public figures, this is drawn from publicly available sources and used only for our political-intelligence services.

What are your rights regarding marketing communications?

You can elect to not receive marketing communications from us by, or by utilising opt-out mechanisms in e-mails we send to you. You can also object to receiving marketing communications or request that your personal data be removed from our CRM databases by contacting us at dpo@heliointelligence.com  

Updates to This Privacy Notice

We may update this Privacy Notice from time to time. If we make important changes, we will update the date at the top of the page and let you know where appropriate. We encourage you to check this page from time to time, so you know how we use and protect your personal data.
